Applicant Document Upload

The application document upload section is clunky. We have one page dedicated to document uploads. If I want to allow a number of documents, from cover letter to statements of teaching philosophy to resume or samples of written work, transcripts, etc. (we have a list of about 18 different types of documents an applicant can upload) I have to list them all on the application as a possibility to upload. I also had to have 3 or 4 "other" documents to allow for multiples (such as transcripts) to be uploaded. It makes this page very long. It would be nice if the candidate had a drop down to pick what they are needing to upload and add as many as they need, have an "Add Another Document" button. It would also be nice, per job posting, to be able to pick what documents are required for the application to be complete rather than having to customize the application to make that required for each posting. We don't have this permanently on an application because each posting could require something different to be uploaded and we want to limit the number of applications we use.

What business value are you trying to achieve?

Making the application shorter and less confusing. Streamlining the upload process.

Hi All, we deal with compliance documents that have expiry dates. Can we please have a feature in which we can amend the dates if they are recorded incorrectly. We also have candidates whom upload the incorrect document under a certain category by error. We are not able to go back in and change this. We need functions that accomodate to this. Thank you

Adam - it would be handy to have a document library for the applicant - beside the normal resume that is stored

e.g. storing screening documents / immunisation documents / copy of quals - that way they can load the appropriate documents into their application from their mobile phone instead of a computer or wherever else they have stored the documents

Let me preface this by saying, I am not a tech person, I don't know the first thing about mapping, coding, programming, etc. I'm feel I'm pretty savvy in seeing how things are connected, once I know a system well. I'm still learning this system. I'm basing my needs on what our prior vendors system was capable of, that made things (in my opinion) much smoother and easier for myself to post positions and requirements and applicants to apply. Much like PageUp, we had a list of documents that an applicant could upload. That was housed in the system admin documents section, where I could add or remove certain types of documents as I saw fit. Please note, this last system I had did not have a resume parser, so that equation was out of the picture for mapping purposes. When I posted a position, within the job card, there was a section for Required Documents (I didn't have to customize the application for each job based on what docs were required, it was done on the job card as an option to add required docs). I selected the documents that were required for the posting, these were then listed as Required Documents within the job description that was posted for applicants to view (I didn't have to add that, it did it automatically when I selected the documents so that candidates knew what they had to have - in PageUp, I have to customize the app and include that verbiage in the description). Within the application, there was a section for uploading documents. In this section, it first listed any documents that were required, if none were, it did not have a statement listing them. It had a drop down where they selected the document they wanted to upload, once that was uploaded, it was mapped (I assume) by what they selected, as they had a list they could choose from, it wasn't just a free range of upload whatever you want, they had to select from a predetermined, predefined list of available documents. They then had a button that said, Add Document, instead of just a list that they had to go down and find, as it is now listed on our application. They could click Add Document as many times as they want and add multiples of what they were uploading, i.e. they weren't limited to 1 transcript, they just clicked Add Document and selected Transcript again. If they didn't upload the required documents that were selected on the job card, they got a warning and were not allowed to submit their application without uploading those. Let me know if anything isn't clear or if you have any additional questions, thanks for looking into this!

Hi Alana, There are a few questions I have regarding this item.
If the option is for the candidate to be able to upload the documents as they choose, there would be no mapping to document types and as such would miss out on functionality such as permissions and control.

How would you ensure that the candidate has uploaded the expected documents (especially if there are 15 or so specific documents) that are required?

Or have I misunderstood, and rather there are only 4 or so document types, and the expectations is rather that the candidate would be able to upload multiple to each of those document types (which would bypass my earlier questions)?

allowing the applicant to store key documents like immunisation & quals would make it easier for the applicant to submit their application using their mobile phone
