Ability to view application documents within system without downloading them

Provide a way to view all documents associated with an application in one location, within the system. This would eliminate the need to download documents from the system and would be especially useful to users who are reviewing applications. Below are some ideas on how to achieve this:

  1. Add an icon/link to the Applicant Progress Board/Manage Applications page that opens a PDF-type compilation of the documents associated with the application (and potentially the application form as well). This new link could work similarly to the current links to view an applicant's resume. Ideally, the new link would show all document types (PDFs, Word documents, etc.), and we would be able to choose which document categories are included.

  2. Display application documents on a new tab of the applicant card, similar to how the applicant's resume displays on a separate tab. The new documents tab would either show a compilation of all documents, or users could choose which document categories they want to see. It might also be helpful to have a job filter so that users can view documents for a specific application.

  3. On the panel review page, provide a way to view applications and associated documents within the page. This would prevent users from needing to navigate to a different tab/window if they want to refer to an application while they are providing feedback.

What business value are you trying to achieve?

To ensure that applicant data remain secure and confidential, we would like to eliminate the need to download application documents and instead retain all documents and data within the system. Enabling users to easily view documents within the system would also streamline the application review process and improve user experience.

We are currently working on functionality to view all application documents within the Applicant Progress Board and would appreciate if you would like to participate in some usability testing.

For anyone who hasn't yet been contacted directly about usability testing for this idea, please book a session with our User Experience research team.

This idea has been updated to Aligned - Current Direction.
We are currently creating designs and will be reaching out to voters for this idea to book in for some usability testing mid-October.

Ability to preview documents in applicant card rather than having to download, open etc. I.e. Click on a document and have it appear in a preview window to the side of the applicant box?

Enable preview for other documents in the applicant card (i.e. Transcript, Cover letter, etc.)

It would save recruiters and other users time and space on their devices if they do not have to download the other documents in order to view them briefly.
