Keeping private information safe - compile and send enhancement

Before the "Visibility with Confidential Permissions" enhancement to forms was made our Payroll team were able to use the compile and send feature to create a PDF of new starter details that could be saved to meet auditing requirements. We have now swtiched on "Visibility with Confidential Permissions" which is a good step forward in securing personal information, however compile and send no longer works with this permission switched on. It would be great if compile and send reflected the settings made on the new starter forms using the new visibility settings. (Relates to support ticket 39231).

What business value are you trying to achieve?

    Commenting in support of this idea and tagging our support ticket on the subject (44660).


    To John's point below, when we use the "Visible to Confidential Users" setting for the New Hire Form (which contains the SSN), our Super Users have access to view the New Hire form thru the Applicant Profile > Form > View path... but when trying to compile a PDF of documents for the file, the New Hire Form is excluded for those same users. So there's no additional unauthorized access, given that the users already have access to view and print the form. But not having the Compile option is blocking those authorized users from using a more efficient, user-friendly path.

    Hi John

    Thank you for the update.
    Since the implementation of the ���Visibility with Confidential Permissions��� our Payroll team are unable to use compile and send to generate a PDF. They are required to keep a record of the new starter form for auditing purposes. Can you please advise how they can generate a PDF with the new starter information. The Payroll team are the only people within the organisation that need to see the details of most of the questions on the new starter form i.e. tax file number, superannuation details etc.

    Bayside���s current setup is as follows:

    1. The new starter form is set up with ���Visibility of answers:*��� set to ���Visible with confidential permissions��� (see screen shot below).

    The Payroll permission group has the ���Visibility of confidential answers��� enabled.

    Thank you for your suggestion, Bianca.

    We appreciate your idea, and initially, we considered implementing it during the development of the confidential answers feature. However, during the demo and testing phase, we encountered significant concerns related to potential data leaks and unauthorized access to sensitive information. Due to these regulatory and compliance risks, we have decided not to pursue further development in this area.
