These issues are easier to solve at the time they occur while applicants are already engaged. This will also help ensure that applications are complete at time of sourcing close for assessment, rather than having to waste time following up on applicants.
Specifically for us:
Our recruitments have strict public sector governance controls and all feature written submission components. At the end of the recruitment process, applicants have a period where they may lodge a breach of process complaint. By not notifying the parties at the time, this issue wasn't able to be resolved before sourcing closure. This exposes recruiters to a breach of process risk if they accept corrected documents after closure, on grounds of perceived advantage by having additional time to work on written components. This would be mitigated if the parties were informed and the issue resolved while the job is still sourcing.
I fully support the implementation of a notification system for virus-detected document uploads. Based on my experience, this feature would significantly enhance our document handling process. Currently, when a document is flagged as "Virus found - document removed," it can cause confusion and delays, as the file is not actually uploaded and no notification is sent out.
By introducing a notification system, we can ensure that both internal users and candidates are promptly informed about any issues with their document uploads. This immediate feedback will allow them to take corrective action quickly, whether it's re-uploading a non-corrupted file or ensuring the document is free of viruses.
Moreover, this system will improve our overall security by reducing the risk of potential threats. Knowing that a document has been flagged for a virus will enable us to address the issue proactively, maintaining the integrity of our document management system.
Additionally, this feature will streamline our operations and enhance user experience. It will prevent repeated failed upload attempts and minimize delays in the recruitment process, ensuring that necessary documents are submitted correctly and efficiently.
