Ability to reopen a candidates portal once closed to upload a missing or different document or ID

Once a candidate has uploaded their on boarding document's ie ID's, Background check doc etc Sometimes they forget to upload the back of their licence or uploads an ID that we don't accept or doesn't sign their background check document.. Can there be a toogle button or something that we can trigger to reopen "their space" so they can reload what they need to?

🧭 How it would work (User Flow)

Recruiter Experience (you):

  1. Open the candidate profile in your ATS.

  2. Click “Reopen Uploads” (toggle or action button) for one or more document types (e.g., Driver Licence – Back, Background Check – Signature).

  3. Set:

    • Window (e.g., 48 hours)

    • Max attempts (e.g., 1 re-upload per document)

    • Reason (mandatory, for audit)

  4. System sends the candidate a secure, time-limited link to their portal, scoped only to the selected sections.

Candidate Experience:

  1. Receives a notification: “Please re-upload the back of your licence” + secure link.

  2. Logs in (MFA preferred) and sees only the reopened items.

  3. Uploads corrected documents and submits.

  4. Gets confirmation. You’re notified and can review/approve.

What business value are you trying to achieve?

It's important for cyber safety.. asking them to email such documents' could be a security risk.

🔐 Security & Compliance Controls (cyber safety)

  • No email attachments: All uploads happen within the portal.

  • Time-bound access: Secure link expires (e.g., 24–48 hours) or on submission.

  • Least privilege: Only the selected sections are accessible—not the whole onboarding suite.

  • MFA & session revocation: Enforce MFA for candidates and auto-log out after inactivity.

  • Scoped upload policy: File type/size scanning, virus/malware check, and content validation.

  • Audit trail: Who reopened, when, why, what was uploaded, and candidate’s IP/time.

  • PII minimisation: Store only required fields; apply data retention rules.

  • Encryption at rest & in transit: TLS + encrypted storage (e.g., AES-256 at rest).

  • Tamper-evident storage: Optional immutable logs for regulated environments.

  • Redaction/Masking: Auto-mask sensitive data in UI where not strictly needed.


🧱 Permissioning & Governance

  • Role-based access: Only Talent/Onboarding roles can reopen uploads.

  • Approval workflow (optional): Require approval for sensitive docs.

  • Limits: Maximum reopen frequency (e.g., 2 times per candidate per doc).

  • Policy: Document reasons and tie to a compliance control (e.g., “ID verification incomplete”).

We’re missing the back of your driver licence / your background check form isn’t signed.
Please use the secure link below to upload the corrected document(s).

Tips: Ensure the image is clear, all corners visible, no glare, and matches the accepted ID types listed on the page.

    The ability to reopen a New Starter form would be useful - especially to replace a bad document
