Ability to Cancel a Draft Position Description

Overview
Currently when a user selects Save as Draft” within the PageUp system, there is no direct method to revert a Position Description (PD) to its previously approved version. The only available workaround requires resubmitting the PD through the approval workflow and manually restoring any edits to match the last approved state. Similarly, declining a PD returns it to a "Declined" status, which presents the same limitation as the Draft status, preventing efficient restoration of prior content.

Issue
This limitation creates challenges at organizations where PD maintenance is decentralized. In these settings, departments often prepare to advertise for a position several months in advance of an anticipated vacancy. However, if any edit for these vacancies approved, then the current incumbent will not be viewing their PD, but rather a future one that does not apply to them (or unable to view the PD at all if in Draft status). When inadvertent edits occur or a PD is mistakenly saved as a draft, there is currently no streamlined process to revert to the last approved version without initiating a full workflow cycle.


It would be a good idea for PageUp to implement functionality that retains a system-generated copy of each PD prior to any changes made when saving as a draft or initiating an approval process. This would enable users to restore the PD to its last approved version quickly and without requiring workflow intervention.

Recommended Implementation Options

  • Introduce a “Cancel Draft” feature allowing users to revert a PD to its previously approved state.

  • Alternatively, enhance the Decline function within the approval workflow to provide the same outcome.

What business value are you trying to achieve?

Implementing this enhancement would:

  • Improve efficiency by eliminating unnecessary workflow cycles.

  • Reduce the risk of data loss or misalignment between PD versions.

  • Support decentralized organizations, such as higher education institutions, where multiple areas manage their own PDs independently.

  • Enhance overall control and accuracy of position documentation within the PageUp system.
