Job Card Documents - Restrictions for Role Purpose Statement/Design Templates

In our current set up, our internal job templates automatically pull the last document uploaded to the job card as a 'Role Purpose Statement' and attaches the document to the live job advertisement. Currently our Hiring Managers upload this document when raising a job, however they can upload another one at any stage.

Can we please look into some ways to restrict/better monitor this functionality. Some ideas below:

  • An error message displaying whenever an RPS is uploaded, where there is already one uploaded

  • Some sort of notification which occurs whenever a certain document category (in this instance, an RPS) is uploaded, which alerts the Talent Acquisition Consultant

  • Could we pull the RPS from the Job Card's Document tab onto the Sourcing Channel and make it mandatory for TAC to review before posting externally - it would be good if when selecting a design template which has an automatic document post attached, the system identifies that, and displays some sort of guidance text to the TAC

What business value are you trying to achieve?

Trying to minimise the risk of a document which is not an RPS, to be uploaded and posted as part of a job advertisement

    need to be able to update Description field by picking from the attached documents on the Documents tab
